We are looking for an Administrative Assistant who has solid experience in the full Admin cycle from permit processing, procurement, updating internal databases, and assist in day-to-day office operations. 

An ideal candidate would be: 

  • Analytical, and can give the output asked for without having to be explained everything in full
  • Has Initiative, and can find workarounds for tasks that are complicated
  • Self-starter, once given the task can push it forward and see it through until it is done without having to be constantly reminded or corrected
  • Able to multitask, and can work on multiple projects at the same time without compromising the quality of the final output
  • Objective, and able to take feedback in all its forms and take it as points that they could improve themselves on

Job responsibilities may include, but aren't limited to:

  • Preparing reports, creating spreadsheets and performing data entry
  • Providing general office administrative support
  • Running various errands and assisting with procurement
  • Assist in facilities management, maintenance and management of assets
  • Support business processes of other departments such as: procurement, legal, sales, HR
  • Provision of executive support including: travel logistics and calendar management
  • Assist in efforts to liaise with the government and external agencies (e.g. visa processing and government business renewals)
  • Be aware of government regulatory requirements and/or corporate compliance deadlines and duly remind relevant departments of these
  • Manage external providers and vendors such as telecommunications and shipping companies
  • When needed, assist in negotiations with external parties in order to effect company objectives
  • Maintain awareness and relay information in regards to internal and external company related events
  • Suggest improvements in business processes and lead business administration improvement efforts

Required:

  • Strong command of English, and strong computer and internet skills
  • At least 2 years experience in a similar role
  • Should be trustworthy, honest, patient, resourceful and dependable
  • An analytical mind with problem-solving skills
  • Excellent organizational and multi-tasking skills
  • Can work under pressure
  • Able to think critically and make important decisions based on sound judgment

Preferred:

  • With international experience and has worked with expats
  • STEM background
  • Experience in project coordination, events or documentation
